This includes, but is not limited to, practice management systems, client record management platforms and health-related digital tools. While we take all reasonable steps to ensure these providers meet industry standards for privacy and security, we cannot guarantee or accept liability for the security of data transmitted or stored through third-party systems. Some of these providers — including the AI-assisted documentation tools described below — may store or process information on servers located overseas (for example, in the United States). Where this occurs, we take reasonable steps to ensure the overseas recipient handles your information in a manner consistent with the Australian Privacy Principles, as required by Australian Privacy Principle 8 (APP 8) of the Privacy Act 1988 (Cth). By engaging in our services, you acknowledge and consent to your personal and health information being managed using these platforms.

‍ ‍11)  USE OF ARTIFICIAL INTELLIGENCE (AI) TOOLS

‍ ‍We may use artificial intelligence (AI) software to help prepare clinical documentation, such as session notes, progress notes and reports. This includes tools such as Everbility, a documentation assistant designed for allied health providers. These tools use AI (including large language models) to help synthesise and draft documentation based on information provided by your treating therapist.

‍ ‍‍ ‍All AI-assisted content is reviewed, edited and approved by your treating occupational therapist before it is used, stored in your CRM file, or relied upon in providing your care. AI tools are used only to assist with preparing administrative and clinical documentation; they are not used to make decisions about your eligibility for services, your diagnosis, or your treatment.

‍ ‍‍ ‍Where we use third-party AI providers, we take reasonable steps to select providers with appropriate privacy, security and confidentiality protections in place. For example, Everbility has advised that client information provided for the purpose of preparing documentation is not used to train the underlying AI model and is not retained by the AI provider. Further information about Everbility’s data handling and security practices is available at everbility.com/trust.

‍ ‍‍ ‍As with our other cloud-based systems (see “Use of Cloud-Based Systems and Digital Platforms” above), using AI tools may involve your information being transmitted to and processed on servers located overseas. If you would prefer that AI-assisted tools not be used in preparing your documentation, or would like more information about the specific AI tools used in your care, please speak to your therapist or contact us.

‍ ‍You have the right to access and update your personal information. If you believe any details are incorrect, please contact us to request amendments.

13)  RETENTION AND DISPOSAL OF INFORMATION

‍ ‍We retain personal information in accordance with legal and professional obligations. When no longer required, we securely destroy or de-identify the information. In the event there is a breach of our security, and your Personal Data is compromised, we will promptly notify you in compliance with the applicable law.
